ActiveCampaign

Connect VoxaLink to ActiveCampaign so call detail is recorded against the matching contact and the right user, with unknown callers added automatically.

The ActiveCampaign integration links your phone system to your ActiveCampaign account. When a call happens, VoxaLink looks the number up in ActiveCampaign, finds the matching contact, and records the call detail against it — duration, outcome, direction, and which user it's assigned to — using ActiveCampaign custom objects. It can also create a contact for numbers ActiveCampaign doesn't already have.

Two things have to line up for this to work reliably, and both catch people out — read Before you connect first.

Before you connect

  • An ActiveCampaign account on a plan that supports custom objects, and an API key with enough permission to read and write records.
  • Phone numbers in ActiveCampaign must be stored in the same format VoxaLink uses. Matching is exact — if the formats differ, the lookup finds nothing and no contact matches. Check how a number appears in Call Analytics (Call Analytics) and store contacts in ActiveCampaign the same way (VoxaLink presents numbers in full international form, e.g. +61…).
  • Each person's email in VoxaLink must match their email in ActiveCampaign. Calls are attributed to the ActiveCampaign user whose email matches the VoxaLink extension on the call. Set the extension's email under Directory → the person → Email (Directory).
  1. Open Admin → CRM Integrations and find ActiveCampaign under CRM.
  2. Click Configure. In the dialog:
    • Apply toAll accounts (tenant-wide), or a single permission group.
    • Create contactsDon't create, or create a contact for all calls, inbound only, or outbound only.
    • API key and base URL — paste your ActiveCampaign API key and your account base URL (e.g. https://youraccount.api-us1.com).
  3. Click Save.

What happens on a call

  • Matching — VoxaLink matches the number to an ActiveCampaign contact and records the call detail against it as a custom object: duration, outcome, direction, and the assigned user.
  • Unknown numbers — if enabled, a contact is created per your chosen direction and added to a dedicated call-activity list.

Troubleshooting

  • No contact matches — almost always a number-format mismatch; compare Call Analytics (Call Analytics) with how the number is stored in ActiveCampaign.
  • Recorded against the wrong user — the extension email doesn't match the ActiveCampaign user's email (Directory).
  • Nothing records — check the API key and base URL, and confirm your plan supports custom objects.
