Microsoft 365 User Sync

Bulk-create VoxaLink extensions from your Microsoft 365 directory, matched on email, with optional automatic creation and disabling of unmatched extensions.

Microsoft 365 User Sync builds your VoxaLink extensions from your Microsoft 365 directory. Instead of adding people one at a time, you pull a list of M365 users, choose who needs an extension, and VoxaLink creates them in one go — matching users to extensions on email.

This is a one-way sync: VoxaLink reads from Microsoft 365 but never writes anything back to it.

What it does

  • Creates extensions in bulk from your M365 users, importing each person's display name, email and phone number.
  • Matches on email, so the same address ties an M365 user to a VoxaLink extension throughout.
  • Optionally keeps itself topped up — automatic creation picks up new M365 users on a schedule, and unmatched extensions can be disabled.

Before you connect

  • An active Microsoft 365 subscription.
  • An Azure AD / Microsoft 365 admin to grant consent for the requested Microsoft Graph permission (read all users' profiles).
  • Valid emails on your M365 users, since matching and creation both key off the email address.
  1. Open Admin → CRM Integrations and find Microsoft 365 User Sync.
  2. Click Configure. In the dialog:
    • Apply to — set the scope to All accounts.
    • Admin Consent — click this; a Microsoft 365 admin approves the requested Graph permission.
    • Get OAuth Token — click this and authenticate. Microsoft hands VoxaLink a token; there's nothing to copy or paste by hand.
  3. Click Save.

How it behaves

  • Create extensions — click Sync Users & Create Extensions to open the list of M365 users. Select who needs an extension; VoxaLink assigns numbers in sequence, then click Create Extensions to import each person's display name, email and phone.
  • Automatic Extension Creation (optional) — when enabled, VoxaLink checks for new M365 users roughly every 12 hours and creates their extensions for you.
  • Disable Unmatched Extensions (optional) — compares extensions to M365 users by email and disables (never deletes) any extension with no matching M365 user.

Troubleshooting

  • "Email conflict" error — that email is already assigned to another extension. Resolve the duplicate, since matching relies on a unique email per extension.
  • A user won't import — check they have a valid email in Microsoft 365; users without one can't be matched or created.
  • Nothing imports at all — confirm an admin has completed Admin Consent, then re-run Get OAuth Token; the authorisation may have lapsed.
  • People can't sign in with their Microsoft account — this sync only creates extensions. To allow Microsoft sign-in, separately enable Sign in with Microsoft in your system settings.
